This Privacy Policy explains how Arab For Host (“AR4HO”, “we”, “us”) collects, uses and protects personal data when you visit ar4ho.com, chat with us, contact us on WhatsApp, Telegram, Facebook, Instagram or LinkedIn, or use our hosting, web development, IT consulting and software services.

1. Who we are

AR4HO.COM (Arab For Host) is a web hosting, web development and IT consulting company based in Hurghada, Egypt, serving customers since 2011. We are responsible (“controller”) for the personal data described in this policy.

2. The data we collect

Data you give us

• Contact and quotation forms: name, email, phone number, company, subject and your message.
• Newsletter: your email address, if you subscribe.
• Website chat: the messages you write and any contact details you share in the chat.
• Messaging apps and social media: when you message or comment on our WhatsApp, Telegram, Facebook Page, Instagram or LinkedIn, we receive your message, your name or username, your platform user ID and, on WhatsApp, your phone number.
• Customers: billing and contact details, the services you use, subscriptions, quotations, invoices and payment records.

Data collected automatically

• Technical data: IP address, browser and device type, pages visited and time of visit, kept in server logs for security.
• Chat identifiers: the website chat stores a random chat ID and your recent chat history in your browser (local storage) so the conversation continues across pages. To prevent abuse we keep only a scrambled (hashed) form of your IP address with chat messages.
• Cookies: essential WordPress cookies, and anti-spam / security cookies when a form protection service is active. We do not use advertising cookies.

3. How we use your data

• To answer your questions and messages and provide customer support.
• To prepare quotations and proposals, and to provide and bill the services you order (invoices, payment follow-up, renewals).
• To keep our services and website secure and prevent spam and abuse.
• To send our newsletter, only if you subscribed (you can unsubscribe at any time).
• To meet legal, tax and accounting obligations.

We do not sell your personal data and we do not use it for third-party advertising.

4. AI assistants

AR4HO uses an AI team, supervised by our staff, to help answer messages quickly. When you write to us on the website chat, WhatsApp, Telegram, Messenger, Instagram or in comments, your message and the related conversation may be processed by an AI system to draft or send a reply. The AI service provider (OpenAI) processes this data on our behalf; under its API terms, data sent through the API is not used to train its models by default. You can always ask to talk to a person, and a team member will take over. The AI does not make legal or financial decisions about you; important decisions are made by our staff.

5. Legal basis

We process personal data in line with the Egyptian Personal Data Protection Law (Law No. 151 of 2020) and, for visitors in the European Union, the GDPR. Depending on the situation we rely on: your consent (for example the newsletter), the performance of a contract or steps you ask for before a contract (quotations, services, invoices), our legitimate interests (answering enquiries, security, improving our services), and legal obligations (tax and accounting).

6. Who we share data with

Only with service providers that help us run our business, under confidentiality and data-protection obligations:

• Our hosting and email providers (the servers that run our website and systems).
• OpenAI (AI replies and drafting, see section 4).
• Meta Platforms (WhatsApp, Facebook, Instagram), Telegram and LinkedIn, when you contact us through those platforms. Their own privacy policies also apply to your use of their services.
• Banks and payment providers, to process payments.
• Public authorities, only when the law requires it.

7. International transfers

Some providers (for example OpenAI, Meta and Telegram) may process data outside Egypt. When that happens we rely on the providers’ contractual and security safeguards.

8. How long we keep data

• Chat and social-media conversations: up to 24 months after the last message, unless they are part of an active customer relationship.
• Contact-form messages and quotation requests: up to 24 months.
• Customer, contract and invoice records: for as long as required by Egyptian tax and accounting law.
• Server and security logs: a few weeks.
• Newsletter: until you unsubscribe.

9. Security

We use encrypted connections (HTTPS), access control with individual staff accounts, encryption of stored access keys, an audit log of important actions, and regular updates. No system is perfectly secure, but we work to protect your data and will inform you and the authorities of a serious breach as the law requires.

10. Your rights

You can ask us to: access the data we hold about you, correct it, delete it, restrict or object to its use, and withdraw consent at any time. You can also file a complaint with the Personal Data Protection Center in Egypt or, in the EU, with your local data-protection authority.

11. Children

Our services are intended for businesses and adults. We do not knowingly collect data from children under 18.

12. Changes

We may update this policy. The date at the top shows the latest version.
